What Should an Email Signature Include?

A useful signature normally includes your name, job title, company, work email, phone and website. Add an address, relevant social profiles, logo, photo, call to action or disclaimer only when it helps the recipient and keeps the signature clear.

Why Email-Compatible HTML Matters

Gmail, Outlook and Apple Mail do not render email like a modern website. Simple tables, inline CSS, fixed image dimensions and email-safe fonts produce more dependable results than JavaScript, CSS Grid, Flexbox or icon fonts.

Add Your Signature to an Email Client

Copy your finished signature first, then use the instructions for your email application. Menu names may change as providers update their interfaces.

Gmail

Open Settings, choose See all settings, find Signature, create a new signature, paste the copied result and save your changes.

New Outlook or Outlook on the web

Open Settings, search for signatures, choose Accounts and Signatures, create or edit a signature, paste it and select when it should be applied.

Classic Outlook

Open File, Options, Mail, then Signatures. Create a signature, paste the copied result and select the account and message types that should use it.

Apple Mail

Yahoo Mail

Why does my signature look slightly different in Outlook?

Email applications do not all support the same HTML and CSS. Outlook desktop in particular may adjust spacing, fonts or image sizing, which is why a test email is recommended.

Are my uploaded images stored by CalcsBay?

No. Images are processed locally in your browser and can be stored in your local draft or downloaded project file. They are not uploaded to a CalcsBay server.
